UPCOMING PRACTICE CHANGES AND REMINDERS - January 2025
WE ARE MOVING!
In January 2025, our office will be moving to 100 Mechanics Street, Doylestown, PA 18901. We will begin to see clients at this location the week of 1/20/25.
Our offices are on the 2nd floor of the building and can be accessed via stairs (due to the age of the building there is no elevator). If you are unable to maneuver stairs or need handicap accommodations, please let your therapist know and we will make the necessary accommodations.
Please be advised there is metered street parking available from 9:00 am - 5:00 pm Monday - Saturday. Street parking is free after 5:00 p.m. on weekdays and Saturdays. There is a county parking garage approximately one block away from the office at Broad and Court Streets. This lot is only available Monday - Saturday 5:00 pm - 2:00 am at a rate of $0.50/hour. Saturday from 8:00 am - 5 pm at a rate of $1.00/hour.
COMMUNICATION OUTSIDE OF SESSIONS: TEXT MESSAGING AND EMAIL
Effective January 2025 all clinicians at Caramenico Counseling Group, LLC will be required to use HIPAA compliant platforms to communicate with their clients.
Your therapist will discuss this with you during your first session of the new year. We will use the smartphone app - OhMD for text messaging. If you would like the ability to text message your therapist, you will need to download the app after your therapist sending you an invitation request. This app is HIPAA compliant and will be used to protect your confidentiality while communicating with your therapist.
Additionally, all email communications will go through your patient portal. In order to email your therapist about non-urgent/non-emergency matters you can client the Message tab at the top of your portal. Please DO NOT use this to cancel sessions. Your therapist will discuss with you how to best reach out to them if you need to cancel a session.
INSURANCE:
If at any time your insurance coverage changes, please notify your therapist immediately so we can confirm that we are in-network providers, as well as verify your benefits, coverage, and payment obligations. Even if your coverage remains under that same plan, if you receive new ID numbers we must verify the change in coverage. Failure to notify us may cause claims to be rejected; in these instances, you will be billed for the full amount of the service rendered per our office policies.
Additionally, many plans change at the beginning of the calendar year, out of pocket max and deductibles are reset so your financial obligation for serves will likely change. If you have a deductible, please be advised that once reset for the calendar or plan year you will be responsible to pay 100% of the negotiated rate we have with your insurance company until your deductible is met. PAYMENTS FOR SERVICES RENDERED:
Payment for service is required at the time services are rendered. Clients will not be invoiced or billed for services later. During in-person sessions, patients may submit payment with cash, check (payable to Caramenico Counseling Group, LLC), or have the option to pay with debit, credit or FSA cards via the patient portal. All virtual sessions require payment to be submitted using debit, credit or FSA card through the Patient Portal. Failure to submit payments for services in a timely manner may result in suspension or termination of service.
All clients have the option to print a receipt at the time they submit electronic payment. If you require a Superbill, one can be provided to you monthly. Please speak to your therapist if you would like a Superbill for payments received.
LATE CANCELATIONS (less that 24 hrs) or NO SHOWS:
All patients will incur a charge of $75.00 for any sessions (in-person or telehealth) that is canceled with less that 24 hours’ notice or the patient fails to attend the session without notice. The patient is responsible to submit this payment prior to their next scheduled session; insurance cannot be billed for missed sessions. Per State regulations we are not permitted to bill clients covered under Medical Assistance for late cancelations; if you have more than 2 late cancelations or no shows in a 6-week period you will be discharged from treatment.
COVID-19 and other Illness:
Masks in the office are no longer required but are OPTIONAL. However, if you are scheduled for an in-person session we respectfully request that if you have tested positive for COVID-19 (with or without symptoms), had high risk exposure to COVID-19, are ill, or have any cold or flu symptoms (missed work or school due to illness) that you contact your therapist to either reschedule your in-person or plan for a telehealth session. If you arrive to your session and have symptoms of illness your therapist reserves the right to request that you to wear a mask or reschedule your sessions for a later date. When attending in-person sessions all patients understand that they could be exposed to COVID-19.
