Use this convenient resource to check appointment availability and request appointments. If you are wanting to use your insurance, please call the office to make sure that the clinician you are trying to schedule an appointment with accepts your insurance. All Tricare Prime needs a referral as we are Certified Out of Network. We do not take EAPS, Cigna, Virginia Premier, or Medicare. Couples counseling, coparenting counseling, and reunification counseling is out of pocket and not covered by insurance. All Residents in Counseling can take Aetna Commercial, Optima Medicaid , Anthem Medicaid, Aetna Better Health of Virginia Medicaid, and are self pay. All Interns are self-pay and DO NOT accept insurance. A card is required to keep on file for intake and all future appointments. If you miss your scheduled appointment or cancel without 24 hours notice, the full session fee will be charged to your card, please refer to fee schedule. All couples counseling is out of pocket as it is non diagnostic and not covered through insurance. All intake paperwork must be completed online prior to appointment. If you miss the initial intake appointment, the missed appointment fee will be assessed. You may now make payments through your client portal account under the new "billings" tab. If you are a new client scheduling a first time appointment, please list if you will be using insurance or self pay in the comment section of the appointment. If you request an appointment with a clinician who is not taking new clients, the appointment will be declined. We return calls within 48 hours during business hours, not including weekends. If you have TRICARE PRIME, you need a referral prior to first appointment as we are Certified Out of Network. We do not take Virginia Premier, Cigna, Employee Assistance, MOS, or Medicare. Please put the information for the client intended, not the parent/guardian. Please complete all paperwork prior to appointment. If all paperwork is not complete prior to the appointment, the clinician reserves the right to cancel the appointment. If you are not in the state of Virginia, the telehealth appointment cannot be held. COVID-19 REMINDER: According to CDC and the state Virginia, if you have been exposed to COVID-19, if anyone you have been in contact with has been exposed to COVID-19, if you are sick, if you have a cough, or if you have a fever, or if you are experiencing any COVID-19 symptoms, please do not come to an in person appointment. You may schedule for a Telehealth Virtual appointment or reschedule your appointment on the Therapy Portal or by calling our office. You have the right to receive a “Good Faith Estimate” explaining how much your medical care will cost. Under the law, health care providers need to give patients who don’t have insurance or who are not using insurance an estimate of the bill for medical items and services. • You have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency items or services. This includes related costs like medical tests, prescription drugs, equipment, and hospital fees. • Make sure your health care provider gives you a Good Faith Estimate in writing at least 1 business day before your medical service or item. You can also ask your health care provider, and any other provider you choose, for a Good Faith Estimate before you schedule an item or service. • If you receive a bill that is at least $400 more than your Good Faith Estimate, you can dispute the bill. • Make sure to save a copy or picture of your Good Faith Estimate. In order for CoVa to continue to provide services to those in need, it is imperative that payment for services be made prior to the time services are rendered. For the convenience of our clients and the practice, a valid credit/debit card is expected to be on file for service charges. When a card on file is declined for any reason, no further services will be provided until the account balance is current. If a client is unable to provide payment at the time of service, the appointment will be treated as a missed appointment. In accordance with the ACA Code of Ethics Section 11, termination of services is appropriate “when clients do not pay fees as agreed upon.” If an account balance is not brought current in pursuant to the CoVa Policies and Procedures, all future appointments will be canceled. Two referrals to alternative providers will be offered for the client to continue services elsewhere.
